LoopNotes AI Privacy Policy
This policy explains what LoopNotes AI handles, where it is processed, why it is used, how long it is kept and the choices available to you. LoopNotes AI is published by Dorji Holdings Ltd, trading as Dorji Labs.
The short version
LoopNotes AI has no app account, no ads, no behavioral analytics and no tracking. Notes are stored on your device and, when enabled, in your private iCloud. When you save a meeting recording, the audio is processed securely in the cloud to produce your transcript and speaker labels, then deleted — recordings are never stored on our servers. AI processing of your notes is a core, automatic part of the product and is performed by processing providers under contractual protections; we do not store note content or AI responses on our servers, none of your content is used to train AI models, and we do not sell personal data.
Data stored on your device and in iCloud
Notes, transcripts, to-dos, attachments, briefings, people you save in the app, settings and related metadata are stored locally. When iCloud is enabled, this data syncs through your private CloudKit database under your Apple ID. Dorji Labs cannot browse that private database. Apple's iCloud terms and security practices apply.
Recordings and transcription
While you record, a live transcription preview runs entirely on your device using Apple's speech frameworks. When you save a meeting recording, the audio file is sent over an encrypted connection, through our secure proxy, to our speech-processing provider, which produces the refined transcript and separates the speakers ("Speaker 1", "Speaker 2", …). The recording is used only to produce that transcript: it is not stored on our servers, our providers are not permitted to use it to train models, and it is deleted after processing (our providers may retain processing inputs transiently, for up to 30 days, for trust-and-safety purposes under their terms). Voice notes (solo recordings) are transcribed on your device and the audio is discarded when the transcript is saved.
Speaker recognition and voice data
Separating who spoke when uses temporary acoustic representations of voice segments within that single recording only. They are used to group segments into speakers for that one transcript, are not retained after processing, are never synced, and are never used to recognize a person across different recordings. LoopNotes AI does not build voiceprints, does not maintain a library of known speakers, and does not use voice, face or any other biometric identifier to identify you or anyone you record. Speaker names shown in a transcript are text labels assigned to "Speaker 1", "Speaker 2" — they are not biometric data.
Cloud AI processing
AI processing is a core part of LoopNotes AI and runs on notes automatically, within your plan's allowance. The app explains this the first time it runs. When a note is processed, or when you use Ask, a briefing or a drafted nudge, the relevant content is sent over an encrypted connection through our secure proxy to our AI-processing providers in the United States. This may include note or transcript text, text extracted on-device from a file you imported, note titles, the name or nickname you entered, calendar event titles, attendee names and relevant excerpts from other notes. Original imported files, images and attachments are not sent to cloud AI.
This information is used only to provide the feature. Dorji Labs does not store the request content or the AI response after relaying it. Our processing providers' commercial APIs do not use your content to train models, and may retain API inputs and outputs for up to 30 days for trust, safety and abuse prevention under their terms. AI output can contain mistakes; the app shows the source excerpts behind extracted items so you can verify them.
Service, security and subscription data
LoopNotes AI creates a random allowance identifier, stored in Keychain and potentially synchronized by iCloud Keychain, to provide complimentary use and enforce fair-use limits (including the monthly recording-hours allowance). It does not contain your name, email address or Apple ID. Apple App Attest provides an app-installation security key. Subscribers send an Apple-signed StoreKit transaction so our service can verify access; we store only one-way hashes derived from allowance and transaction identifiers, not the raw Apple transaction identifier.
Our service stores limited feature labels (for example, "briefing"), token-cost totals, recording-minute totals, allowance balances, attestation records and anti-abuse counters. These records are used for app functionality, subscription verification, security, fraud prevention and cost control — never advertising or tracking.
Retention
- Meeting audio sent for transcription is deleted after processing; providers may retain processing inputs for up to 30 days for trust and safety under their terms. We never store recordings.
- Short-lived security records — one-time challenges, request counters and subscription-verification caches — expire automatically, typically within hours.
- Monthly usage totals (including recording minutes) are retained for up to 40 days.
- App Attest key records and hashed lifetime-allowance balances are retained while needed to authenticate the app, prevent repeated free-allowance claims and operate the service.
- Our infrastructure provider processes network information such as IP address, request time and routing metadata under its applicable terms and security controls.
Permissions and Apple data sources
- Microphone and Speech Recognition — record voice notes and meetings, with live transcription on-device.
- Camera — snap a business card when you choose to add a contact that way. Card text is recognized entirely on-device; the card image is not sent to our servers or providers and, when iCloud is enabled, may sync through your private iCloud with the saved contact.
- Calendar — read upcoming events and attendee names for meeting matching and briefings, and add events you approve. Relevant event context may be included in a cloud AI request.
- Reminders — create or update reminders you approve, including items covered by an automatic-approval preference you choose.
- Contacts — LoopNotes AI does not read your existing contacts. It requests permission only when you choose to copy a person from a scanned business card into Apple Contacts.
- Notifications — deliver local reminders and meeting prompts on your device.
Permissions are requested when needed and can be changed in iOS Settings. Features that depend on a denied permission will be unavailable, but the rest of the app continues to work.
Third-party processors
We share data only with the categories of provider needed to deliver the service: Apple for iCloud, StoreKit and App Attest; our secure-infrastructure provider for network proxying; and our speech- and AI-processing providers in the United States for transcription, speaker separation and AI features. We require these providers to handle data under protections consistent with this policy and applicable law, including no training on your content. We do not use advertising networks, third-party analytics SDKs or tracking pixels.
Recording other people
You are responsible for complying with local law and workplace rules when recording. Some places require every participant to consent. LoopNotes AI asks you to acknowledge this responsibility before your first meeting recording. Recordings are processed automatically to produce transcripts; Dorji Labs does not review, monitor or have any means of listening to them, and automated processing does not remove your obligation to obtain consent.
What we never do
We do not sell your personal information. We do not share it for cross-context behavioral advertising. We do not use your notes, transcripts or audio to train AI models, and our providers' commercial APIs do not train on data sent through them. We do not use advertising identifiers, third-party analytics SDKs or tracking pixels. There is no advertising in LoopNotes AI.
Your choices, deletion and rights
You can edit or delete content in the app. Deleted notes remain in Recently Deleted for 30 days unless you empty it sooner, then are permanently removed from your device and private iCloud. Deleting the app removes local copies; iCloud copies can be removed through Settings → Apple ID → iCloud → Manage Storage. There is no LoopNotes AI account to close.
Cloud processing is integral to LoopNotes AI's transcription and AI features: if you prefer that a particular conversation not be processed in the cloud, do not record it, or use a typed note without AI actions. You can revoke system permissions in iOS Settings at any time. To ask about access, correction or deletion of limited service-security records, or to exercise data-protection rights, email hello@dorjilabs.com. Because our identifiers are deliberately pseudonymous and there is no account, we may need information from the app to locate a record and may be unable to associate a record with you.
UK data-protection law may give you rights to access, correct, delete, restrict or object to processing, portability and withdrawal of consent. Our lawful bases are performance of the service you request, your consent where required, and legitimate interests in securing the service and preventing abuse. You may complain to the UK Information Commissioner's Office at ico.org.uk.
International transfers
Our processing providers operate in the United States, and providers may otherwise process data outside the UK or EEA. Where required, transfers rely on safeguards such as an adequacy decision or standard contractual clauses.
Children
LoopNotes AI is not specifically directed to children under 13. We do not knowingly use the app to collect personal data from children for advertising or tracking.
Security
We use encryption in transit, Apple App Attest, signed StoreKit verification, access controls and data minimisation. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Changes
If this policy changes, the updated version and effective date will be posted at dorjilabs.com/loopnote-privacy. Material changes will also be described in app release notes or otherwise communicated where required.
